A Deep Dive into Innovation and Best Practices 

The Workday Regional User Group (RUG) meetings are always a highlight for the Workday community, offering invaluable opportunities for learning, networking, and sharing best practices. Recently, Teamup9 had the privilege of attending and sponsoring the TOLA RUG (Texas, Oklahoma, Louisiana, Alabama) event in Dallas, Tx. What a fantastic experience it was! The energy was palpable, and the commitment to leveraging Workday to its fullest potential was evident in every session. 

As proud sponsors of Day 1, we were particularly excited to see the depth and breadth of topics covered, many of which are at the forefront of our clients’ minds. The event truly underscored the vibrant and collaborative spirit of the Workday ecosystem, bringing together diverse perspectives and innovative solutions. 

Customer-Led Insights and Discussions 

Day 1 of the TOLA RUG was especially impactful, featuring a series of insightful presentations and engaging group discussions hosted by the Customer Sharing Movement. This collaborative format allowed Workday users to share their real-world experiences, challenges, and successes, fostering a rich environment for peer-to-peer learning. The topics covered were highly relevant to current Workday trends and strategic initiatives: 

  • Creative Uses of AI for Workday Configuration Support: This session explored how organizations are beginning to harness Artificial Intelligence to streamline and enhance Workday configuration tasks. Demonstrations ranged from AI-driven object documentation to intelligent recommendations for calculated fields setup. In the group discussion, but powerful impact of AI on Workday administration was explored further to help with BP optimizations and deployment approaches. 
  • Security Best Practices: A perennial and critical topic, this discussion delved into the latest strategies for safeguarding sensitive data within Workday. Attendees shared insights on robust security configurations, auditing practices, and managing access to ensure compliance and protect organizational information. 
  • Workday Reporting and Organizations: This topic focused on optimizing Workday’s reporting capabilities and effectively structuring organizations within the system to drive meaningful financial and HR insights. A session on composite reports provided knowledge. Participants exchanged tips on building powerful dashboards and leveraging organizational hierarchies for better analytics. 
  • Public Cloud Migration: As more enterprises migrate their Workday infrastructure to the public cloud, this discussion provided valuable lessons learned and best practices for moving Workday tenants and integrating with public cloud environments, addressing common challenges and successful approaches. 
  • Orchestrate/Extend/Studio: This deep dive into Workday’s integration and application development tools – Orchestrate, Extend, and Studio – highlighted how companies are building custom solutions, automating complex workflows, and extending Workday’s core functionality to meet unique business needs. 
  • Introduction to Adaptive Planning: For many, this session served as a gateway to understanding Workday Adaptive Planning, showcasing its capabilities for financial planning, budgeting, and forecasting. It provided a foundational overview for those looking to enhance their planning processes. 

The active participation and willingness to share among the attendees made these sessions incredibly valuable, demonstrating the power of community-driven knowledge.

What truly makes RUG events, and particularly the Customer Sharing Movement sessions, so impactful is the emphasis on peer-to-peer learning. Hearing directly from other Workday customers about their successes, challenges, and innovative solutions provides a level of practical insight that is hard to replicate. These discussions often uncover creative workarounds, validate strategic approaches, and spark new ideas for optimizing Workday environments. The candid exchange of experiences builds a strong sense of community and collective problem-solving.
